The Dean of Academic Records and Registrar is a full-time Administrative Faculty position that oversees all operations of the Registrar’s Office as well as the hiring, training and development of Registrar’s office staff. The Dean of Academic Records collaborates with other campus leaders to design quality student services and protect student records. This position reports to the Associate Provost/Dean of the College.
The Dean of Academic Records and Registrar will be a proven leader who is responsible to:
Communicate and provide leadership for the Office of the Registrar vision and mission, and plans that ensure that all resources are in alignment with the institutional vision, mission and strategic initiatives
Direct, mentor, and guide Registrar management staff; work in collaboration with the office management staff to establish direction, priorities and goals
Provide leadership and oversight in developing office policies and procedures to continuously improve services provided by the University Registrar’s Office, including: performing incoming transcript evaluation and recording; maintain effective registration processes; processing grades; certifying and reporting enrollment to external agencies; tracking and clearing students for graduation and producing diplomas; and helping coordinate Commencement ceremonies
Provide accountability for implementation and monitoring policies concerning student enrollment; enrollment verification; academic records; matriculation; transfer work; grade reporting and processing; academic progress; graduation; and certificate and degree certification
Act as official liaison with Veteran’s Administration
Oversight of the State Authorization Reciprocity Agreements (SARA) in ensuring compliance with all stakeholders
Deliver official Vanguard University transcripts upon students’ request
Make data-informed proposals and decisions to contribute to the overall goals of the office, the Provost’s area, and the university
Compile and report internal and external data in collaboration with the Office of Institutional Research
Oversee the development of the annual academic calendar for all programs (TUG, PS, and Grad)
Collaborate with the Deans, Associate Deans and Chairs to schedule classes and assign rooms; master calendar; prepare final examination schedules with the approval of the Provost/Vice President for Academic Affairs
Provide leadership planning and development for the compilation of the University Catalog
Work with academic associate deans to develop and implement academic policy and curriculum
Function as the primary university data custodian for student academic records with responsibility for setting and implementing appropriate planning and policy-level standards
Serve as the University Compliance Officer for the Family Educational Rights and Privacy Act (FERPA); serve as the main resource to university departments/offices and campus officials for institutional policies and practices relating to student academic records
Ensure compliance with Family Education rights and Privacy Act (FERPA) as it relates to the assigned areas of responsibility, serve as the institutional FERPA compliance officer, and provide guidance and training to the University in this area
Ensure that the policies of the faculty and appropriate committees concerning student achievement and deficiencies are completed; recommend students for degrees and supervise the academic welfare of students, faculty and staff as necessary
Collaborate with Admissions on the Homeland Security guidelines for International Students including enrollment certification and verification
Prepare and administer the departmental budget
Participate in professional development activities including state, regional, and national professional associations relating to university/college registrars
Maintain current and ongoing best practices and ensure professional development and training for registrar personnel; remain current on university policies and related state and federal regulations to ensure compliance
Serve on university academic and administrative committees and serve in other capacities as needed or directed by the university
Serve on various university committees as invited or deemed necessary
Resolve student disputes as they relate to the Office of the Registrar through appropriate research and analysis and intervention
Maintain effective collaborative partnerships with Administration, Admissions, Accounting, Department Advising staff, Student Success and Retention, Financial Aid and other ancillary offices
Align academic procedures and administrative process to ensure compliance with institutional, accreditation and other regulatory standards and requirements
Identify risks to the organization within the department and discuss risk reduction options with immediate supervisor
Perform other duties as assigned
Master’s Degree with five years of progressive leadership experience in the Registrar’s Office, with proven ability to develop a cohesive team
Strong organizational, management and technical skills
Proactive, strategic, and collaborative across campus, especially with those departments that are key interdependencies
Ability to sign and align with the statement of faith of Vanguard University
Ability to effectively communicate with undergraduate students, working adults, faculty and staff, external and internal reporting agencies
Knowledge and application of technology and software systems that create efficiencies unique to the Office of the Registrar
Excellent interpersonal, communication, and administrative skills
Ability to work with and support diverse student populations
Effective written and verbal communication
Knowledge of MS Word, Excel, PowerPoint
Experience with the Ellucian Colleague student information system
Experience in implementing large system changes or converting systems
Small college experience
Full-time position, Full Year (12 month) contract. Salary is commensurate with education and experience and includes a generous benefits package.
