Function: The Post Award Grant Manager is responsible for implementing and managing an institution-wide system for grants administration, including the review, reconciliation, and projection of finances related to grants and sponsored projects. You will be expected to maintain a comprehensive understanding of funding policies, regulations, and procedures to effectively administer awards and ensure compliance. Furthermore, you will be instrumental in determining the allocability, allowability, reasonableness, and consistency of costs in accordance with award guidelines, providing invaluable guidance on post-award matters.
Working closely with Advancement and the Office of Finance and Business Services, the Manager reports to the Director of Grants and Sponsored Projects under the Dean of Academic Affairs in the Office of the Provost.
Description of Duties and Tasks: Essential Responsibilities: • Monitor expectations and outcomes of restricted grants and sponsored research projects - Maintain and communicate close knowledge of restricted grants and contract/MOU obligations; monitor restricted accounts for compliance - Maintain detailed records of contract and MOU obligations using Salesforce and SharePoint - Use appropriate tools to monitor expenditures and report regularly to stakeholders - Act as a liaison between Principal Investigators (PIs)/Program Managers, Office of Finance and Business Services, and Advancement to ensure appropriate communication, tracking and reporting of all grant and research expenditures and outcomes
• Oversee Budgets - Monitor budgets; liaise with PIs/Program Managers and Office of Finance and Business Services to help set up restricted accounts and communicating expectations for new awards - Work collaboratively in pre-award phase to develop budgets - Meet regularly (monthly) with PIs and program teams to ensure consistent monitoring of expenditures - Assist with collecting, maintaining, validating and analyzing grant-related financial data - Complete post-award monitoring to ensure compliance with rules and regulations, including, but not limited to, accounts receivable, invoicing, cash draw-downs, expenditures, financial reporting, cost-sharing documentation, cost transfers, extensions, account close-out, indirect costs, and sub-recipient monitoring - Proactively follow cleanup and closeout procedures on expired accounts according to institutional policy and standard accounting practices
• Administration & Progress Reporting - Assist with the completion and submission of required progress reports and final reports in collaboration with PIs/Program Managers - Liaise with PIs/Program Managers and complete administrative paperwork as required - Work with network developers to improve reports and tools
• Institutional Success - Develop and manage relationships across key sponsored research stakeholders; communicate with researchers, administrators, and sponsors - Provide financial and regulatory guidance to PIs, deans, faculty, and staff; assist with questions regarding expenditures and budgetary projections, sponsored project requirements, and institutional/agency fiscal policies and procedures; provide financial data or reports, as requested - Work with PIs, administration, and sponsors to provide excellent customer service and resolve complex issues related to sponsored projects - Keep up to date on sponsor requirements, institutional policies, and state and federal regulations to effectively administer awards; proactively update team members on applicable changes
Required Experience: • Bachelor’s degree, preferably in accounting, finance or business-related major • Two or more years' experience in grant writing, grant management, or research administration • Expert-level proficiency in Excel required; previous experience with Salesforce is a plus.
Required Knowledge, Skills & Abilities: • Understanding and enthusiasm for the value of a Christian liberal arts education • Accounting and Financial Analysis: Knowledge of accounting standards and experience in devising, developing, collecting, and analyzing statistical information and reports • Grant Administration and Budget Management: Understanding of policies, procedures, and implementation related to research grants and contracts; ability to maintain policies while helping others improve their skills in grant administration and budget management • Analytical and Problem-Solving Skills: Strong ability to analyze data and solve problems • Process Improvement and Innovation: Passion for improving processes, ensuring data integrity, and resolving issues • Communication Skills: Excellent verbal and written communication to convey information clearly and concisely, including data and reports; ability to adapt communication style to interact effectively with a diverse group of people • Relationship Building: Ability to establish and maintain effective working relationships with administrators, faculty, staff, and colleagues • Organizational Skills: Strong attention to detail, organizational skills, and the ability to manage multiple deadlines and priorities • Self-Directed and Outcome-Focused: Ability to work independently, take initiative, set goals, and manage time effectively while collaborating to achieve results
