Summary/Objective
The human resource specialist assists employees with all aspects of HR responsibilities including but not limited to onboarding, HRIS entry and updates, benefits administration, performance management administration, workplace injury investigations and reporting, leave administration and ACA related reporting. The position requires initiative, the ability to clearly and effectively communicate and maintain confidentiality. This is a full-time 12-month position which reports to the HR director.
Duties and Responsibilities
Benefits function
Reviews and explains to employees benefit plan information, reviews enrollment forms for accuracy and coordinates enrollment with benefit providers.
Ensures compliance with COBRA entering required information with third party administrator.
Ensures required information provided by benefit providers is submitted for annual benefit plan 5500 filing.
Reviews benefit provider’s billing statements for accuracy and prepares invoices for payment. Maintains invoice history for each provider.
Maintains HRIS with employee benefit elections and current cost data.
Human resource function
Maintains personnel files and HRIS in compliance with applicable legal requirements.
Keeps employee records up to date by processing employee status changes in the HRIS timely.
Assists in the hiring process by reviewing job postings and coordinating with marketing to be added/removed from the website and job boards.
Uses E-Verify for each new employee as part of the I9 process.
Requests background checks as required for new employees.
Coordinates with department representatives for scheduling and conducting new employee orientation meetings.
Conducts exit meetings as required.
Completes TN New Hire Report monthly.
Administers employee injury process and interfaces with worker’s compensation carrier as required.
Administers FMLA and short-term disability leave process.
Orders office supplies.
Assists with ACA filings including 1095C and 1094.
Coordinates and assists with employee engagement initiatives and events such as service awards and Christmas celebrations.
Administers the HSA and FSA with 3rd party vendors as required and transfers HSA funds each pay period.
Supports student employee process by gathering hiring paperwork and entering information in HRIS and updating record information as required.
Requests background checks as required, and reviews reports for any items of concern.
Enters Non-Employees and Volunteer information in HRIS.
Administers unemployment claims process through JOBS4TN.gov.

Required Education and Experience
Bachelor’s degree in human resources or related field and minimum of three years of job-related experience, preferably in a human resource department; or any equivalent combination of education and experience that provides the required knowledge, skills and abilities.
Preferred Education and Experience
SHRM Certified Professional (SHRM-CP) or SHRM Senior Certified Professional (SHRM-SCP) credential and/or Professional in Human Resources (HRCI-PHR) certification.
Prior higher education experience.
Additional Eligibility Qualifications
Extensive knowledge of computer software (Microsoft Office Suite)
High level of interpersonal skills to handle sensitive and confidential situations and documentation.
Ability to operate most standard office equipment.
Attention to detail in composing, typing and proofing materials, establishing priorities, and meeting deadlines.
Good to excellent spelling, grammar and written communication skills.
Excellent telephone and oral communication skills.
Ability to maintain a high level of confidentiality.
Bilingual in English/Spanish is a plus.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
While performing the duties of this job, the employee is regularly required to talk and hear. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stoop as necessary. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
