Trinity Christian College seeks a full-time Executive Assistant and Administrative Coordinator for the President’s Office. This position provides executive assistance, logistical management, and strategic administrative leadership for President’s Office staff that furthers the vision and mission of Trinity Christian College. This includes execution of college processes and operational priorities, communication and coordination across administrative departments in support of college priorities and programs, and collaboration with a wider team of administrative operations employees at Trinity. The role requires planning, scheduling, and facilitating of campus events, management of office scheduling, coordination of Board of Trustees meetings and communication, and interface with the campus community and wider public. Ability to learn quickly, work collaboratively, anticipate opportunities and challenges proactively, and maintain strict confidentiality is essential. Engagement with Trinity’s strategic initiatives and Christian vision for higher education is also essential.
The essential duties and responsibilities of this position include but are not limited to the following:
Initial internal and external point of contact for the President’s Office Ability to represent the President’s Office to external and internal constituents through excellent communication, strong writing skills, professionalism, and hospitality. Ability to prepare and edit internal and external communication documents. Ability to communicate in a way that invites collaborative engagement with the mission of the institution.
Management of the Office of the President Strategic coordination of the calendar, priorities, administrative tasks, and other opportunities in the President’s Office, which includes the President and Chief of Staff.
Communication Liaison and Coordinator for Strategic Initiatives Ability to collaborate with a team of administrative coordinators across the campus to ensure highly effective internal communication and project management related to college priorities, including the streamlining of campus-wide processes.
Project Management Ability to take on projects that require critical thinking, attention to detail, creativity, and innovative problem solving.
Coordination of the Board of Trustees Preparation of agendas, communication regarding Board meetings, Board travel, and documentation of Board minutes in coordination with the Chair of the Board, Vice Presidents, and Board Committee Chairs.
Management of College Policies and Processes Management of processes and College policies related to contracts, internal and external reporting responsibilities, data management and collection, and other policies and processes related to the operations of the President’s Office and in support of the wider institution.
Coordination of Campus Meetings and Events related to the Office of the President Calendar management, planning, and coordination of campus meetings and events in coordination with other College staff. Preparation of agendas for key meetings. Interface with other campus support offices in support of event planning.
Financial Records management Reconciliation of office expenses, interface with Business Office related to Trinity’s financial authorization policies, and ability to handle basic budget oversight.
Management of Office Supplies In coordination with other departments across campus, manage the ordering and coordination of office supplies and create streamlined processes for campus requests.
Other Duties as Assigned
A Bachelor’s degree is required. Experience in higher education contexts or logistical operations positions strongly preferred. Exceptional interpersonal skills, multi-tasking, commitment to collaborative work, and commitment to Trinity’s Christian mission are essential. Advanced Microsoft Office skills, with an ability to become proficient with college-specific programs and software (e.g., Raiser’s Edge, Slate, etc.).
