Position Summary
Provide executive-level administrative assistance and support to the President and Sr. Vice President for Advancement (SVPA) including office management, scheduling and meeting coordination, budget monitoring, travel arrangements, special projects, clerical support, inter-office communication, and the discretionary exercise of judgment and decision-making within broadly established parameters.
Essential Functions
- Ensure a high level of hospitality and customer service to all guests of the President, SVPA and University.
- Manage President’s and the Senior Vice President's schedules to maximize strategic engagement with staff and external constituents. This includes scheduling, organizing, and prioritizing daily agenda, follow-up, and action items; provides coordination and organizational support for meetings; coordinate joint activities and programs between both offices. Stewards highly confidential information and acts as a trustworthy liaison between the office of the president external constituents (board members, major donors, community, and church leaders). Ensure all meeting details are confirmed and the president is fully briefed prior to meetings/projects/speaking engagements.
- Manage the organization and coordination of all Board Meetings by providing executive-level support for the Executive Committee Meetings, Board of Directors Meetings, and President Cabinet Meetings.
- Serve as a primary point of contact for internal and external constituencies on all matters pertaining to the president and the SPVA. Create correspondence when requested, delegate to the proper director or department. This includes high-level engagement with donors, board members, church and community leaders, and timely stewardship and follow-up. Ensures a high level of hospitality, etiquette, and customer service to all guests of the office of the president. Impeccable attention to detail and excellent interpersonal skills. As the first point of contact for the university, expected to model a high standard of professionalism while working sensitively with multiple constituencies.
- Coordinate and arrange travel for the SVPA.
- Coordinates and arranges non-donor related travel for the president.
- Coordinates appointments and meetings for the president and SVPA with direct reports, donors, board members, trustees, faculty, and others both inside and outside the university community; provides frequent assistance in person or over the phone.
- Performs other work-related duties as assigned.
Education/Experience/Skills
- Bachelor’s degree.
- Five years of executive-level administrative experience and demonstrated success in higher education is a plus.
- Knowledge of and ability to use Microsoft 365, Excel, Word Press, Salesforce, PPT, and Teams.
- Excellent interpersonal skills that can be maintained in high levels of stress and in a wide range of environmental settings. Strong communication skills for both written and oral communication.
- Possess the ability to independently manage large volumes of complex tasks, react with an appropriate sense of urgency and sensitivity, demonstrate creative problem solving, critical thinking techniques, ability to assume responsibility and perform all duties without direct supervision, wisely exercise discretion and independent judgment, make decisions within the scope of assigned authority.
- Exhibit exceptional organizational and time management skills, highly detail oriented.
- Ability to maintain confidentiality, high level of professionalism, and discretion in handling confidential information.
- Demonstrate commitment to maintaining a safe work environment free of harassment, violence, and unlawful discrimination.
- Ability to communicate effectively, get along well with co-workers, and deal effectively and professionally with colleagues.
Working Environment
- Work is generally performed indoors in a typical office setting.
- Some weekend/evening work is required.
- Position works with strictly confidential information.
- Frequently required to be in front of a computer screen for long periods of time.
Physical Demands
The functions are usually performed while sitting, but may involve some amount of time standing, stooping, kneeling, bending, crouching, lifting (max. of 40 lbs.), walking, carrying, reaching, stretching, climbing, and performing repetitive motions of the hands or wrists and other movements. The abilities of seeing, hearing, and speaking are also required.
