Position Summary: Assists the Registrar in the coordination and management of day-to-day operations of the Registrar’s Office by knowing, interpreting, applying, and subsequently communicating academic policy and procedures related to student records and enrollment; accurately reviewing, updating, processing, recording, and appropriately disseminating student academic records. They will manage graduation application procedures and degree audit production by way of configuring and maintaining student information system operations and complete start/end of term registration details. This role will also be responsible for maintaining reporting records and complete term and accreditation reporting, as well as, analysis of the data.
Manages day-to-day functions of the Registrar’s Office under Registrar’s oversight –operates as “second-in-command” for Registrar responsibilities.
Complete enrollment reporting (internal and external), start-and end-of-term reporting, and perform comprehensive data analysis. Assist with the completion of KPEDS, IPEDS, ATS, SACSCOC, and state reporting. Track annual graduation, retention, and attrition reports and perform analysis of the data for seminary leadership. Develop Quick Facts annually and ensure printing and distribution of the document. Responsible for the analysis and development of charts, reports, and presentations as needed.
Monitors progress for students admitted conditionally or provisionally, with incomplete coursework on record, or approaching degree completion time limits.
Conducts the enrollment process for all post-graduate and non-matriculated students.
Reports student withdrawals, registration changes, fee assessments, and other matters related to billing and financial aid to appropriate offices.
Oversees processing and approval of academic petitions, independent research contracts, advisor or campus changes, late registration changes and withdrawals, incomplete requests, faculty consent registrations.
Solves student and faculty database problems as they relate to registration.
Updates and tracks the online graduation application process, and conducts graduation audits and communications for graduating students confirming degree-awarding eligibility and posting degrees as completed.
Assists the Registrar with the annual systems software catalog updates as required by course and program changes, developing and posting all official degree audit forms.
Updates and enters courses and makes adjustments to posted courses as necessary.
Coordinates with the Registrar to fulfill requests for academic reports by the Provost, Deans, Faculty, and School Administrative Assistants.
Assists with commencement ceremonies by staging, seating, and student rehearsal management.
Assists the Registrar in safeguarding, disseminating, and educating regarding FERPA regulations for the institution, ensuring FERPA compliance.
Third in line to assist with transcript processing and the fulfillment of enrollment verifications in the absence of the Administrative Assistant of Student Enrollment as well as the Assistant to the Registrar.
Responsible for all student communication regarding graduation and registration (i.e. drop/add deadlines) and the start of term.
Other tasks and responsibilities as assigned.
Assists the Registrar in department budget preparation and management – the amount of which varies.
In the absence of the Registrar, the Associate Registrar has the authority to approve departmental purchases of up to $5,000
