Required Experience * Five years of intercollegiate athletic experience as a support staff member and/or coach
Primary Duties/Essential Functions
Finance * Monitors, approves, and audits all athletics department financial transactions, ensuring accuracy within approved budgets, verifying proper documentation and record * Has oversight of all Azusa Pacific credit cards issued to athletics department personnel, monitoring monthly reconciliation and appropriate account designation for accuracy * Assists coaches and Director of Athletics in developing the department’s annual operational budget * Serves as Athletics Department primary liaison with the following university departments: Business Office, Payroll, Accounts Payable, Purchasing. and Collections * Conducts regular review of department budgets for accuracy and communicating discrepancies, as needed, with appropriate offices and personnel
Human Resources * Serves as Athletics Department primary liaison with the university’s Human Resources Office * Meets monthly with the APU HR Business Partner assigned to Athletics to review compliance to university and state regulations, department needs related to compensation and benefits, and staff development * In conjunction with HR, promotes job opening announcements, secures applicant pool, and coordinates interview processes * Trains new coaches in departmental and university policies and procedures related to finance and travel. * Manages and organizes all department job descriptions and organizational charts * Coordinates the department’s Kronos Timekeeping operations and training
Annual Reports * Annually compile and submit the NCAA Financial Report and the Equity in Athletics Disclosure Act with appropriate sanctioning bodies, while coordinating with appropriate university departments the procurement of necessary data for the reports * Manage and submit enrollment demographics and benchmarks for university leadership
Administrative Assistance * Manages confidential departmental records and contracts * Manages financial aspects of special projects as assigned (i.e. NCAA conference, regional, national championship events). * Serves as the department liaison for all travel arrangements * Assist game management during athletic events as needed * Overseeing the department’s hosting and finances of NCAA postseason tournaments
Skills * Strong organizational, management and assessment skills * Strong interpersonal and communication skills * Ability to problem solve and professionally relate to all kinds of people * Ability to create, compose, and edit written reports * Working knowledge of Microsoft Office suite * Basic knowledge of intercollegiate athletics
Mental Demands * Work under pressure, exuding a mature demeanor while multi-tasking in a deadline-oriented environment with accuracy and consistency. * Work independently and meet deadlines. * Work collaboratively with a team, as well as an independent contributor. * Ability to exercise good judgment and discretionary skills in determining when to act independently and when to consult management prior to taking action. * Self-starter with a positive attitude. * In agreement with the purpose and goals of Azusa Pacific University in providing a Christian-based higher education for its students.

Environment * Primarily a climate-controlled indoor environment, with some work conducted at outdoor athletics events
