Reporting to the Associate Provost, the University Registrar is responsible for all functional duties performed in the Office of the Registrar as well as the provision of those academic and student records services needed to support the academic programs of the University. The Registrar is responsible for the maintenance, accuracy, and security of the permanent academic records of the current and former University students and is the University official responsible for FERPA compliance.
Job Duties and Responsibilities:
Provide strategic planning, direction, and supervision for the Office of the Registrar.
Interpret and ensure compliance with recordkeeping standards, as well as college policies and procedures, and ensure that all functions of the office are performed according to standards established by AACRAO and to federal and accreditation rules and regulations, especially pursuant to FERPA, Veterans Administration, and NCAA regulations.
Supervise/manage functions within the Office of the Registrar including overseeing the office budgets, student information system, electronic records storage, registration, student academic records, recording transfer credit, degree audit and clearance, graduation certification, athletic eligibility and certification, veterans’ certification, scheduling of courses and final exams, development of the academic calendar for approval by the faculty and administration, and updating of the University catalog.
Formulate, seek approval for, administer, and interpret academic policies/procedures/regulations to faculty, staff, students, parents and external publics. Provide training to University employees to ensure policies are communicated and applied accurately, consistently, and efficiently.
Cultivate an environment that is student centered, supporting student success and retention.
Confer regularly with the Associate Provost and other university personnel to plan, coordinate, and evaluate policies, systems, and activities; exchange information, interpret policies; investigate and resolve problems to continually improve the services of the Office of the Registrar.
Assist the President, Provost and Associate Provost in planning the program for all academic convocations, including chairing the Commencement Team
Serve as a liaison with accrediting officials, professional organizations, and others outside the university on matters related to student records
Serve on various college committees as requested
Other duties as assigned by the Associate Provost and Provost
A master’s degree from an accredited institution of higher learning
A minimum of seven years of progressively responsible experience in successful planning, management, and administration of a comprehensive academic records office
Understanding of best practices in the management of academic records
Experience in the use of complex computerized student information systems required; experience with Banner strongly preferred
Excellent interpersonal communication, problem solving and customer relations skills with the ability to engender the same in a team focused on quality service to students and faculty
High degree of personal integrity and ability to manage sensitive information confidentially
Ability to deal effectively with faculty, students, parents, administrators and staff, as well as various outside organizations
A commitment to support and contribute to the mission of Samford University
Experience with room scheduling and degree audit software
