Oklahoma Baptist University has an exciting opening for a Director of Events, Conferences, and Camps is responsible for overall scheduling and operation of venues on campus which serve the Oklahoma Baptist University community, the Shawnee community and Oklahoma Baptists. The role manages the Albert J. and Laura Belle Geiger Center (GC) for University Life, ensuring that the facility is properly maintained to serve various constituents who use its services.
Job Role and Responsibilities
Prepare annual budget related to revenues and expenditures for the ECC
Develop annual and long-range objectives for Events, Conferences, and Camps
Work closely with custodial services to ensure appropriate housekeeping and Facility Services regarding set-ups, equipment, heating, and air; and A/V for sound system, projection, and other AV needs
Maintain aesthetic value of meeting spaces through regular inspection and evaluation of furniture, walls, woodwork and fixtures
Inventory and maintain furniture inventory for banquet, meeting, and other event use, primarily but not limited to banquet tables and chairs
Supervise the preparation of rooms for banquet and other special events, including the set-up of required equipment and decorative items. Ensure contracts are being fulfilled
Ensure facilities are staffed whenever events are scheduled for facilities
Schedule the use of meeting and banquet rooms in the Geiger Center and in other campus facilities, communicating scheduling details and requirements to pertinent departments
Prepare and execute contracts with clients
Provide and enforce University policies related to the Geiger Center and other campus facilities for customers
Coordinate billing of charges to customers for the use of facilities, catering, audio visual and campus police. Provide invoices to business office and clients. Reconcile food service invoices, approve monthly statement and submit for payment
Coordinate arrangements for summer camp and conference activity working closely with camp/conference directors, ResLife, Food Service, Facility Services, and University Police
Responsible for OBU owned camps and clinics’ insurance, maintaining documentation of attendance and prepare audits for insurance company
Request calendar events for upcoming University calendar annually
Manage schedule requests for use of campus facilities, including approving event/activity applications, confirm space availability, suggest alternative dates if needed
Input data from departments for calendar dates, reconciling conflicts of dates between departments
Input class schedule for each semester into EMS for Campus Police, Facility Service and Housekeeping info
Gatekeeper for Chartwells annual donation contribution to the University
Decorate Geiger Center to maintain appropriate atmosphere related to the season or event, i.e. Christmas, Be A Bison Day, etc.
Provide and maintain coffee service in kitchenette for University community at no charge
Perform other duties as assigned by Dean of Students and Vice President of Campus Life
Knowledge and Skills Required
Must be a clear communicator with exceptional follow-up skills for closing communication loops
Able to establish and maintain effective working relationships with others
Able to handle stressful situations in a fast-paced environment
Possess high standards of conduct, appearance, and attitude
Possess strong analytical skills
Proficient with hardware and software tools in building management and scheduling, including Microsoft Office Applications
Qualifications, Experience and Education
Required: Bachelor’s Degree
