The Assistant Director of Academic Services assists the leadership and administration of the law school in all academic affairs, which includes academic programs, support of student learning and experiences, faculty support, and policies and regulations to ensure the effective delivery of high quality academic programs that meet university strategic goals. The Assistant Director of Academic Services must be detail-oriented, can work independently with little supervision, possess excellent verbal and written communication skills, and have the ability to maintain confidentiality.
Maintain strong communication between deans, faculty, staff, students, donors and other constituents; maintain donor database; update contact information.
Assist in faculty recruitment, orientations, scheduling, and faculty support.
Build and maintain the master schedule for the JD program and MLS program.
Coordinate deans’ schedule for faculty reviews, peer reviews, and course reviews.
Control the exams and assessments workflow starting with the submission process from the faculty, to approval of the Dean, to the administration of the actual exam through Examsoft or other appropriate modalities.
Assist Dean in reviewing and recording academic procedures and policies in order to remain compliant with accreditors and best practices.
Prepare model syllabus, review course syllabi for structure and policy adherence.
Maintain departmental calendar to assist in the management of due dates for various accreditation, governmental, and institutional catalogs, reports, surveys, etc.
Collaborate on Annual Compliance State Bar report and TLS academic catalog and handbooks updates.
Process credit card expense reports and other expense reports functions for the Deans;
Prepare documents as necessary, maintain both physical and digital office filing systems, and maintain records in development software, Student Information System (SIS).
Maintain California Accredited Law Schools (CALS) accounting.
Assist with the logistics and planning of faculty meetings, and professional development training.
Manage Dean’s travel schedule, make travel arrangements, as needed.
Order faculty textbooks and retain copies of required textbooks in the library.
Perform general administrative assistant duties to include maintaining Dean’s calendar, answering the telephone, greeting and directing office visitors appropriately, taking minutes, sort and distribute mail; other clerical duties as needed
