This person provides confidential office secretarial assistance to the Vice President for University Integrity & General Counsel and other legal, risk management, and emergency management staff. This position reports to the Vice President for University Integrity & General Counsel.
Primary Duties/Essential Functions
Serve as private, confidential office secretarial assistant to the Vice President for University Integrity and General Counsel.
Provide secretarial services to other members of the Office of the General Counsel staff and risk management and emergency planning staff as time allows.
Coordinate functions of the Office of the General Counsel, setting priorities, delegating, and coordinating projects as needed.
Interface with internal and external constituents through telephone, email, and personal contacts, using diplomacy, tact, and a welcoming demeanor.
Manage and organize central office files and the General Counsel’s office files.
Coordinate the VP and General Counsel’s calendar, making travel and meeting arrangements as needed.
Draft correspondence, perform internet research, and edit memoranda and reports.
Ensure timely response to requests for action and information.
Serve as needed as recording secretary for staff and board committee meetings, attending meetings, developing agendas, and writing and distributing minutes.
Participate in the life of the university.
Work in tandem with other executive assistants to support of the work of senior administration and the board.
Assist with maintaining official university corporate documents and files, preserving and archiving for legal and historical record.
Responsible for daily electronic timekeeping as it applies to the scope of this position.
Perform other duties as assigned by the supervisor.
Good organizational skills, confidentiality, ability to exercise discretion and judgment in performing duties.
Able to learn procedures and retain information.
Knowledge of higher education and the local community.
Proficient in Google Applications and Microsoft Office suite software.
Excellent interpersonal, oral and written communication skills.
High degree of accuracy.

Need for sound judgment, ability to work independently and handle multiple priorities in a fast-paced, changing environment.
Ability to work under pressure, exuding a mature demeanor while multi-tasking in a deadline-oriented environment with accuracy and consistency.

Continuous sitting four-six hours daily; intermittent sitting and standing.
Requires repetitive motion and sitting at computer keyboard.
Requires hearing and speaking on the telephone.
Meetings may require walking and/or driving to various university locations.
Ability to pull, push, bend to lower file drawers, grasp, reach up to upper file drawers and storage units, and lift up to 20 lbs.
Must be able to climb stairs multiple times in a work day.
Reading, writing notes, and computer monitor.

Bachelor’s degree, or equivalent education and experience.
