About the Job
The Executive Assistant provides project support and executive level administrative assistance directly to the Vice President of Academic Affairs (VPAA) for the College of Undergraduate Studies (CUS). This includes planning and coordinating numerous key academic efforts, activities, and events throughout the year.
The Executive Assistant also filters and assists with the VPAA’s schedule and communications with the deans, faculty, students, and other University departments. The Executive Assistant prepares Academic Affairs reports for the Board of Trustees and management in addition to organizing and maintaining multiple types of academic records for the office.

We're looking for candidates who have:
Minimum of 1-3 years of professional experience working in an executive office.
Bachelor’s degree and experience working in a Christian university is preferred.
Christian maturity, servant attitude, and character with the ability to discreetly handle confidential information.
Ability to work both independently and in a team environment.
Detail-orientation, excellent time management skills, and strong prioritization skills.
Excellent written and oral communication skills.
Ability to take initiative and be a self-starter.
Demonstrated skill with Microsoft Office: Word, Excel, PowerPoint, Outlook, Publisher.
Flexibility, dependability, and are trustworthy with highly sensitive information.
Key Job Duties
Contribute to CCU’s mission: Christ-centered higher education transforming students to impact the world with grace and truth. In this role, the Executive Assistant shares in this vision by joining a team dedicated to providing exemplary academics by integrating faith and learning in a scholarly environment, while also cultivating a rich and enduring faith in Christ that will ultimately transform students, their families, and their communities.
Manage the calendar for the VPAA by scheduling meetings and appointments.
Work on independent and ad-hoc projects as assigned, depending on the needs of the VPAA and the department.
Assist in coordinating special academic events and efforts, including but not limited to the Faculty Retreat, Convocation Chapel, the annual Faculty Review process, Dean’s Council meetings, faculty lunches, Dean’s List, Who’s Who Among Students in American Colleges and Universities, Awards Chapel, Commencement activities related to CUS faculty, and other events as needed.
Assist with major projects for CCU’s accreditation agency, the Higher Learning Commission (HLC), including the Highly Qualified Faculty Project, which includes all University faculty, and Assurance Argument, which includes yearly evidence-gathering for the HLC Criteria
Coordinate meetings, gather information for reports, and complete occasional research for project reports.
Complete the filing, photocopying/collating, and processing of reports and invoices.
Supervise student employees assigned to work in Academic Affairs.
Manage travel arrangements for the VPAA.
Order supplies for the Academic Affairs office and maintain supplies in stock.
Complete other responsibilities as assigned.
While performing the duties of this job, you may be required to walk, stand, sit, reach with hands and arms, balance, stoop, speak with clarity, and have appropriate vision and hearing capabilities. Requires sitting at a desk, working on a computer, and conducting phone conversations for extended periods of time. The employee must occasionally lift and/or move up to 25 pounds. You may be required to work occasional irregular hours, including some nights and weekends.
