Higher Ed Administrative Careers - Program Administration
The Program Coordinator for the School of Business and Management will manage department activities, as well as special projects, for the Business and Management departments under the direction of the Department Chair. The program coordinator will work closely with the program Directors and Department Chair in an effort to manage the administrative responsibilities of the Business and Management Undergraduate and Graduate Programs.
Required Education * A.A. degree or equivalent experience preferred.
Required Experience * One – five years of experience with progressive organizational and administrative responsibility.
Primary Duties/Essential Functions * Responsible for daily electronic timekeeping as it applies to the scope of this position. * Regular, punctual attendance as required by the supervisor based on department needs. * Assist Chair with the management of curriculum management systems. * Coordinate syllabi requests and textbook requests and records. * Coordinate graduate, undergraduate and online course schedules using PeopleSoft. * Receive incoming phone calls and mail; when necessary distribute messages, related information and office/campus mail. * Assist with coordinating the orientation of new departmental faculty to the University and the SBM. * Support special events for the School of Business and Management as requested by the Chair or Dean. * Gather information; create reports and statistical information on the state of the department as needed. * Perform other duties as requested and/or assigned by the supervisor. * Collaborate with course scheduling partners (Undergraduate and Graduate Registrar, Office of Innovative Technology), etc. * Assist department chair in managing graduate and undergraduate new online course development including serving as a liaison to IMT, SMEs, and instructional design specialist. * Assist the department chair to manage semester, term and revised course development within the Canvas LMS. Serve as liaison to IMT, SMEs, and instructional design specialist. * Coordinate and schedule meetings for the department chair. * Monitor course enrollment and coordinate course schedule changes. * Coordinate the beginning and end of term processes to ensure smooth transitions. * Coordinate and manage program and department catalog changes. * Coordinate and manage semester and term Canvas LMS transfer requests * Provide administrative support to the department chair, including preparing, copying and distributing departmental correspondence. * Responsible for daily electronic timekeeping as it applies to the scope of this position. * Regular, punctual attendance as required by the supervisor based on department needs. * Performs other duties as assigned by the supervisor.
Skills * Strong written and verbal communication skills. * Ability to manage details and follow through. * Ability to conduct business at other offices on campus. * Exceptional oral and written communication skills, including strong proofreading and editing skills. * Self-starter, highly motivated with strong organizational skills. Ability to manage details, assess priorities, meet deadlines, and provide follow-through. * Great customer service skills; ability to interact professionally and effectively with individuals from diverse backgrounds; demonstrate a genuine commitment to serve. * Ability to maintain confidentiality of records and information. * Ability to train and manage student workers and prioritize tasks. * Ability to learn and balance a variety of assignments in a multi-program department; able to handle multiple tasks and responsibilities with minimal supervision. * Computer proficiency in Microsoft Office products, including Word and Excel, and type 55 wpm; working in Access is a plus. * Self-motivator with excellent interpersonal and organizational skills. * Collaborator and a commitment to a team-based approach.
Physical Demands * Requires repetitive motion and sitting at computer keyboard. * Hearing and speaking on the telephone. * Meetings may require walking and/or driving to various University locations. * Ability to pull, push, bend, grasp, reach and lift up to 20 lbs. * Must be able to climb stairs multiple times in a work day.
Technologies * Proficient in People Soft, Sakai and other APU systems, Microsoft Office, Word, Excel, and Google Applications.
