Higher Ed Administrative Careers - Clerical/Administrative Support
The Administrative Assistant is a part-time position reporting to the Director of Facilities. The ideal candidate will successfully communicate on behalf of the Maintenance department to other University departments, students, and campus activities, and will also represent the University with a warm and welcoming demeanor as they greet and screen visitors and customers. A professional demeanor and appearance, in addition to a servant spirit, is required for this position.
Duties and Responsibilities
Perform a variety of administrative support duties such as running errands, printing, scanning, ensuring office equipment is maintained in good working condition, and procuring necessary supplies for efficient office operation.
Complete data entry for requisitions, accounts payable invoicing, and vendor tracking.
Maintain filing system for department documents, complete financial reporting, and process mail.
Assist with department purchases. Complete credit card reconciliations.
Assist with the coordination of on-campus maintenance projects with University departments, students, and campus activities.
Warmly receive and direct visitors, vendors and phone calls with poise and grace.
Support projects as necessary and perform miscellaneous duties as required.
Knowledge, Skills, and Abilities
Demonstrate proficiency with Microsoft Office Suite: Outlook, Excel, Word, and PowerPoint.
Demonstrate accounting, data organization, and math proficiency.
Previous customer-focused experience of 2 to 5 years preferred, where administrative support was provided.
Ability to demonstrate discretion and maintain confidentiality in accordance with University policies and administrative needs.
Ability to respond with enthusiasm to challenges and responsibility and to work cohesively with others.
Ability to meet and surpass established goals and deadlines.
Exceptional interpersonal skills; approachable and proactive in delivering prompt, accurate, and Christ-like customer service.
Demonstrated ability to work in a fast-paced environment and effectively manage multiple tasks; highly motivated to achieve goals and be a contributing member of the team.
Developed business communications skills; speaking, writing, editing, and proofing.
Nature of Work Environment
While performing the duties of this job, you may be required to walk, stand, sit, reach with hands and arms, balance, stoop, speak with clarity, and have appropriate vision and hearing capabilities. The employee must occasionally lift and/or move up to 25 pounds.
