The Administrative Assistant for the School of Theology is a temporary position and reports to the Dean and assists the Dean and the faculty members in the day-to-day operations of the department, as well as long-range planning. The role will be temporary from November 2019 - January 31. The ideal candidate will be detail oriented, self-starting, and will help to create a welcoming atmosphere for students, faculty, staff, and other community members.
Duties and Responsibilities
Create a welcoming environment by greeting guests, answering telephones and taking messages, answering general questions, scheduling appointments as needed, and by directing students who arrive for meetings.
Assist faculty and affiliate faculty with clerical tasks, especially by supervising four work-study students for copying, scanning, and gradebook administration.
Order and maintain office supplies.
Schedule School of Theology department meetings, compile agenda items, and record minutes.
Maintain the syllabi archive, update attendance records and proctor examinations as well as department mailboxes and email lists.
Plan and coordinate University and community-wide events, along with several student-specific events.
Prepare for upcoming semesters, including working with the Dean, faculty, and other departments to schedule and manage courses using database systems and classroom technology.
Serve as a liaison to affiliate faculty, Admissions, the Life Directions Center, Registration Support, Marketing, and the CCU Bookstore.
Assist in obtaining the Dean’s signature, and returning paperwork to appropriate offices; facilitate evaluation of transfer credits, substitutions, and waivers.
Track financial expenses for the department and maintain accurate records; assist the Dean with compiling anticipated needs for affiliate faculty budget.
Assist with preparation of new academic catalogs, including making catalog edits, preparing catalog change proposals, and informing other departments of catalog changes.
Oversee student employees, teaching assistants and graders.
Perform other duties as requested by the Dean.
Knowledge, Skills, and Abilities
Polished customer service and exceptional written and verbal communication skills demonstrated ability to communicate effectively by phone, e-mail, and in person.
Proficiency with computer software, especially Word, Excel, and Outlook, and capacity to learn other software systems including Blackboard, Colleague, and Acalog.
Strong problem-solving and organizational skills.
Self-starter who is motivated and displays effective time management.
Bachelor's degree preferred.
Professional experience in an academic administrative support or clerical capacity preferred.
Educational background in theology, biblical studies, or youth ministry desirable.
Nature of Work Environment
While performing the duties of this job, you may be required to walk, stand, sit, reach with hands and arms, balance, stoop, speak with clarity, and have appropriate vision and hearing capabilities. Requires sitting at a desk, working on a computer, and conducting phone conversations for extended periods of time. The employee must occasionally lift and/or move up to 25 pounds. You may be required to work occasional irregular hours, including some nights and weekends.
