Administrative Careers - Clerical/Administrative Support
4 Year Degree
Trinity Christian College seeks a full-time Executive Assistant for the Provost’s Office. This position provides executive assistance, logistical management, and strategic operational leadership for the Provost’s Office. This includes execution of faculty policies and processes, execution of administrative duties surrounding faculty contracts and review, scheduling and facilitation of campus events, management of scheduling, and interface with the campus community and wider public. Ability to maintain strict confidentiality is essential.
The essential duties and responsibilities of this position include but are not limited to the following:
Initial Internal and External Point of Contact for the Provost’s Office
Ability to represent the Provost’s Office to external and internal constituents through excellent communication, strong writing skills, professionalism and hospitality.
Interface with full-time and adjunct faculty
Management of data collection, organization, and storage for faculty personnel review processes and contract generation. Coordination of faculty onboarding, including coordination of adjunct and full-time faculty orientations. Routine correspondence and documentation collection with faculty and academic staff. Development of efficient technological solutions to support these duties.
Management of college academic policies and processes
Management of processes related to multiple College academic policies. Responsibility for Faculty Handbook revisions, coordination of student appeals processes, and other policies related to accreditation requirements. Development of systems and efficiencies that support essential Provost Office operations.
Ability to take on projects that require critical thinking, creativity, and innovative problem solving.
Interface with Academic Affairs Committee of the Board of Trustees
Preparation of agendas, communication regarding committee meetings, and documentation of committee minutes in coordination with the Academic Affairs Committee and the Office of the President.
Scheduling of campus meetings and events
Calendar management and coordination of campus meetings and events in coordination with other Provost’s Office staff. Preparation of agendas for key meetings. Interface with other campus support offices in support of event planning.
Financial Records Management
Reconciliation of office expenses, interface with Business Office related to Trinity’s financial authorization policies, and ability to handle basic budget oversight.
Management of office supplies
In coordination with the Provost’s Office staff, manage office supplies.
Other duties as assigned
Bachelor’s degree required. Experience in higher education contexts or logistical operations positions strongly preferred.
