Administrative Careers - Clerical/Administrative Support
The Business Affairs Administrative Assistant is responsible for providing project, administrative, and clerical support to the leadership team in the Office of Business Affairs. As the first point of contact for visitors to the Business Affairs office, the position requires excellent written/verbal communication skills, office management, and organizational skills; confidential and effective administrative support; and the ability to manage multiple projects and priorities.
Duties and Responsibilities
Provide efficient, effective, and high quality administrative support to the leadership team in the Business Affairs office suite.
Provide reception and customer service for Business Affairs, including greeting and screening guests, professionally answering phones, answering general questions, directing visitors to scheduled appointments, following up on issues of concern, etc.
Perform a variety of clerical duties such as printing, faxing, scanning, document management, data entry for invoicing, and timely mail delivery; and perform routine mailings for Accounting, Service Central and the vice president of Business Affairs.
Provide support to the Communications and Creative Services (CCS) department, including editing submissions for the University’s Daily E-News and posting them on the University portal, editing events in the University’s calendaring tool, proofreading and editing content for CCS jobs, creating job folders for projects, creating and managing documents, and submitting work orders.
Coordinate and implement multiple administrative communications for the office suite including emails, distribution lists, and other resources.
Oversee office supply inventory and ordering and ensure office equipment is maintained in working condition.
Create and oversee a staff sign-up schedule to ensure that kitchen areas and conference rooms are straightened, clean, and organized. Place orders for office supplies and the convenience machine.
Coordinate maintenance for the Business Affairs suite.
Perform other duties as assigned.
Knowledge, Skills, and Abilities
Minimum of two years of experience supporting a business office and executives with administrative tasks preferred. Bachelor’s degree desired.
Exhibit sound judgment with sensitive information and adhere to high standards of confidentiality in accordance with University policies and administrative needs.
Approachable and proactive in delivering prompt, accurate, and excellent customer service.
Superior oral and written communication skills and outstanding attention to detail.
Excellent at multi-tasking skills and fulfilling requests from multiple departments in Business Affairs; must meet deadlines.
Proficiency with Microsoft Office Suite software applications and able to use other corporate software.
Basic math skills and accurate record keeping required.
Nature of Work Environment
While performing the duties of this job, you may be required to walk, stand, sit, reach with hands and arms, balance, stoop, speak with clarity, and have appropriate vision and hearing capabilities. The employee must occasionally lift and/or move up to 25 pounds.
