Summary: The Administrative Assistant to the Vice President of Student Services is responsible for the daily operations of the Student Services Office and support of the Vice President of Student Service/Dean of Students role (VPSS). This full time, hourly position reports to the VPSS.
Provide general receptionist and clerical support for Student Services
Maintain the appointment calendar for the Vice President of Student Services
Process VPSS expense reports
Coordinate logistical plans for Student Services related events including but not limited to staff retreat, mid and end of year celebration, and other events as needed
Schedule and provide logistical support for Retention Steering Committee, Welcome Week Committee, Check-in/Move-in team meetings
Create and distribute agendas for Student Services Team Meetings
Serve as administrator delegating Catalyst cases to appropriate care area.
Record and distribute minutes for Student Services meetings, Welcome Week meetings, and Student Services Committee of the Board of Trustees
Collect, compile, and edit Student Services Board of Trustee Reports
Compile and maintain student conduct records, chapel and convocation records, update Catalyst records, and track trends related to participation and emergent themes
Collect and maintain emergency contact information for all SAS students
Administer chapel and convocation scanning and accountability process
Manage college parking permit system and photo ID for students, guests, staff, and faculty
Coordinate housing assignments in partnership with the Assistant Dean of Residence Life
Submit housing, parking, and all Student Services related fees to Business Office
Maintain spreadsheet of Student Services personnel committee assignments
Maintain calendar and log of staff phone numbers, birthdays, vacation requests/absences, and professional development fund usage
Coordinate Student Services personnel hiring processes, including collection of applications, scheduling interviews, and sending follow-up communication with candidates
Manage scheduling of Belk Conference Room
Supervises the office student worker(s)
Assist the VPSS with facilitating revision of Student Handbook, including the related pages in the Academic Catalog, related calendar events, and Student Services’ web pages
Other duties as assigned
A welcoming, service-oriented person with proficiency in MS Office, especially Word, Excel, and Outlook. Must be a good communicator who is highly organized and detail oriented. Candidates must support the College’s Christ-centered mission and faith statement.
Education/Experience: Bachelor’s degree preferred.
