The full-time, 12 month position reports to the Assistant Controller and is primarily responsible for managing purchasing functions campus wide including purchase requisitions and credit cards, risk management, fixed assets, internal controls, and to provide assistance to the Assistant Controller, Controller and Vice President for Finance/CFO in the financial operations of the University.
Analyze activity, maintain records and prepare management reports for purchasing and fixed asset functions.
Manage purchase requisitions – review requisitions for correct charge codes and approvals; process in Great Plains software to create purchase orders.
Maintain vendor records in Great Plains software.
Credit Cards – manage University P cards and review cardholder activity to ensure compliance with University fiscal policies and procedures.
Contracts and Insurance - maintain University records of all contracts and applicable risk management documents as well as ensure compliance with IRS regulation for independent contractors.
Manage Fixed Assets - manage the fixed asset module of Great Plains to ensure accurate recording and reconciliations.Manage the maintenance of physical inventory as required by SACS.Maintain the depreciation schedule, ensuring accurate calculations for depreciation and accumulated depreciation; track capital purchases and any other asset acquisitions; and keep the disposals list current and descriptive for prompt identification of assets removed from service.
Internal Audit – Develop and maintain a system of internal controls for the University, including a) vendor records b) contract records.
Provide required items for the annual audit (reconciliations, etc.).Review applicable areas of the financial statements.
Research central purchasing and implement as determined feasible.

Essential Knowledge and Skills
BS/BA in Accounting or Accounting Related Field.
Three to five years’ experience in purchasing or related field.
Non-profit or higher education experience is preferred.
Working knowledge of computer file management, Excel software, and accounting.
Knowledge of accounting and reporting standards; analytical, computer and customer service skills.
Knowledge of accounting and financial policies per University Catalog; professional discretion and skepticism
Management and communication skills.Knowledge of the general work flow of the office.
Knowledge of the University’s Fiscal Policies and Procedures and applicable accounting and auditing standards.
