The L.A. Film Studies Center (LAFSC) seeks a Program Administrator to provide general administrative support to the office of an off-campus study program for college students. As a semester-long, off-campus study program of the Council for Christian Colleges & Universities (CCCU), LAFSC brings college students from around the country to Los Angeles for one semester of their undergraduate career to gain a well-rounded yet in-depth understanding of what makes the business of Hollywood run.
The CCCU is a professional association of 180 campuses in 20 nations whose mission is to advance the cause of Christ-centered higher education and to help our member institutions transform lives by faithfully relating scholarship and service to biblical truth. The CCCU coordinates professional development opportunities for administrators and faculty, manages U.S. based and international off-campus student programs, provides public advocacy for Christ-centered higher education and manages cooperative efforts among its member campuses (www.cccu.org).
Oversee the admissions and recruitment process for LAFSC (in cooperation with the Director of Enrollment & Campus Relations):
Identify, recruit, and enroll prospective students into LAFSC, and provide up-to date student reports as needed
Maintain an active and engaging communication plan with students and related constituents via phone calls, texts, emails, direct mail, etc.
Serve as primary contact person for applicant questions, counseling and advising them on curriculum, degree and class choices
Oversee inquiry follow-up communication with admin assistant and team members
Oversee the maintenance of LAFSC’s recruiting Facebook and SMS accounts
Help with the planning of student tours
Assist with preparation and orientation for the semester:
Develop LAFSC process and materials for incoming students
Function as primary contact person for incoming student questions, counseling and advising them on curriculum, degree and class choices
Oversee online student handbook, catalog and syllabi each semester
Assess needed updates/changes for arrival and orientation materials and make changes as necessary in consultation with LAFSC Director
Oversee planning and purchasing for student tours
Be actively involved in leading orientation events
Oversee the LAFSC office administration:
Serve as the receptionist, overseeing the front desk by welcoming visitor, answering phones and relaying messages, and managing incoming and outgoing mail
Organize and facilitate sale of supplies, media and postage to students and faculty
Oversee office supply purchases
Maintain student library, determining library content and purchases in DVD’s, DVD libraries, and books.
Manage vendors, contracts and maintenance, door codes and office keys
Perform data entry, including updating the LAFSC alumni records and the CCCU faculty database
Provide conference assistance and coordination
Liaise between LAFSC and the building parking office
Provide alumni relations support:
Produce a weekly (or as needed) E-news email sent to all LAFSC alumni and staff for the purposes of communication of events, alumni updates, job openings, alumni needs, industry ministry news, etc., as well as Constant Contact announcements
Create and maintain an online presence for the LAFSC community which includes (but not limited to) the official alumni Facebook page and LAFSC website alumni page
Assist with the development of the alumni program
Assist with the planning and execution of alumni events and meetings
Attend Alumni Council Meetings and serve as secretary of the meetings
Manage LAFSC accounting, including reporting, vendor and bill payments, the management of all credit card expense reports, checking account reconciliation, and making deposits and withdrawals for Director and CCCU approval
Develop promotional materials with Director of Enrollment & Campus Relations and Director
Provide administrative support for other LAFSC staff/faculty by creating reports for student evaluation data and grades, and managing the team calendar
Share in management and planning of other activities of the program, including special events, industry guests, alumni relations, studio tours, etc.
Other duties as assigned by supervisor
Persons applying for the position should:
Support the Christian mission and purpose of the CCCU and its BestSemester programs
Have strong verbal, written and interpersonal communication skills
Have a strong understanding of a variety of computer programs, especially Constant Contact and analytics for Constant Contact, Google and FaceBook and Mac-based programs
Have basic accounting experience and be familiar with Quickbooks
Understand how to facilitate and manage organizational social media
Have ability to design brochures, programs, and Constant Contact announcements and invitations
Be able to manage multiple tasks
Demonstrate a positive and helpful attitude
Be detail-oriented, highly organized and flexible
Function well as a member of a team, but also possess the ability to work well independently
Other requirements include:
Ability to work for long periods of time at the computer
Ability to lift heavy equipment (30 lbs)
